ROYAL FLOWERS AND HIRING
To inspire that floral touch to our guests we offer an on site florist; well experienced who creates floral delights with a difference. We have the flair for creating the floral dreams of every bride or venue. A detailed portfolio is available for your perusal. The quote supplied will be an estimate and could vary from season to season. The client will be contacted before hand of the price increase. The use of the Royal Palms florist is not optional.
GENERAL TERMS AND CONDITIONS
Venue Hire
Our pricing structure will be kept firm for 2011 and will end 31 December 2012. The full deposit is payable in order to secure the booking.
Menu Selection. A holding deposit of R3000.00 to be refunded within 7 days after the function.
Our extensive menus are interchangeable to accommodate your personal requirements. Copies of our menus available on request.
- Unless a major governmental increase in food items Royal Palms will absorb a 10% escalated increase for 2011 and 2012.
- Children under the age of eight years will be charged 50% of the agreed adult menu price.
- Children under the age of two years will not be charged and not catered for.
- Please note that Royal Palms do not offer a kitchen facility only a kitchen where food can be warmed. For self catering a kitchen usage charge of R1500.00 will be applicable.
Waitron Charges
To ensure the guests relaxation and comfort during any function, Waitron are employed to attend to their every need without the expectation of a tip. This service is compulsory and the minimum requirements are:
- Plated menus require one Waitron per table for up to 10 guests. Plated menus maximum guests are 50.
- Buffet menus require one Waitron for every table of up to 10 guests each. Waiters will attend to the guests orders for drinks at the bar.
- A headwaiter is employed to serve the main table only.
- Waitrons are charged at R 220 each and barman @ R 330 each
- Staff pricing will be increased on public holidays. Waiters are R260 each and Barman is R400 each.
- These prices are subject to change.
Bar Services
We require clients to brief us regarding their requirements for the provision of a Full Bar, Wine, Malt, Soft drink Bar or a Cash Bar. A request can be made for certain items to be excluded from your account but will still be available on a cash basis. Clients are welcome to set a limit on the total bar expenditure for their account. In order to maintain control of this account, we are willing to supply a regular reconciliation of the bar account during the function. An updated list of bar prices is available on request. Wine orders need to be placed two weeks prior to a function. Wine orders are limited to; two Sparkling Wine / Champagne choices, three white wine choices, two red wine choices. No wines, spirits, beers or soft drinks may be brought onto the premises. Any changes to the bar requirements at any stage are to be done so in writing. Corkage will be charged for “dinky” bottles (supplied by the client as party favours / bonbonniere) should guests open these. A 10 % Service charge will be applicable for more than 30 guests.
Set Up and Cut Off Times
Set up time is during office hours of 08h00 to 17h00 prior to functions in each venue. The ceremony area will be ready at 11h00, and the venue will be ready with tables and tablecloths by 12h00. Anyone making alternative arrangements must ensure that these are documented on the function sheet at the final appointment.
An overtime rate of R 500-00 per half hour or part thereof will be charged after 00h00. Overtime will also be charged should the client’s décor breakdown exceed standard functions times or overtime paid for.
Furniture and Equipment
The provision of Royal Palm’s standard furniture and equipment is at no extra charge.
Please ensure that the equipment requested is satisfactory in advance of your function. Any additional items should be supplied or hired by the client at the client’s cost.
- No fireworks will be allowed on the Royal Palms property, it’s also Ekhuruleni Metropolitan council law.
- No live animals will be allowed on the Royal Palms property.
- Hooting and loud music will not be permitted in the drive way and parking areas.
- Music equipment (i.e. your DJ’s speakers etc) may not be set up outdoors.
- No permanent alterations are allowed, this include nails or hooks in the walls, roof or frames. Any damage to Royal Palms property including linen, beyond reasonable wear and tear will be charged accordingly.
- Candle wax damage on linen will be charged for.
Draping and Fairy lights
Royal Palms have decided to include all standard draping and fairy lights IN THE VENUE. This is a mayor cost saving to every function. Extra fairy lights and draping are an additional charge.
Royal Gondola Boat Trip
The Royal Gondola boat trip is a “MUST”. This is the ultimate perfection to add to your photo collection. A half hour boat trip in water, with your personal assistant as your skipper will make sure that you are treated as Royalty. Enjoy a glass of Champaign with your loved one and relax. Make use of the Royal garden set up with lanterns, Royal carpets. Making use of the Gondola will be at own risk. Royal Palms will not be held responsible for any claims, damages or injuries sustained.
Overnight Accommodation/Dressing Room
Our overnight accommodation for the Bride and Groom is designed to make you feel at home and relaxed after a delight full evening at the venue. Kitchen and on suit bathroom makes part of your luxurious stay. Enjoy your breakfast in your own private garden. Please book beforehand.
Make use of our dressing room facility on your special day. Champaign and canapé platter will be served whilst getting ready for your big day at an additional cost.
Appointments and Payment Requirements
- Bookings are secured by paying a deposit.
- 30 days prior to the function, the balance is payable
- 3 weeks prior to the function at the final appointment, the following is confirmed;
- procedures of the function day
- final number of guests
- bar requirements
- All incidentals to be settled before the function ends
Monthly Payments Option
If your function is booked more that 4 months in advance, you may prefer to split the payment of your total bill (excluding bar bill) over the months prior to the function. This can help you to smooth out the financial demands of your wedding as no lump sum venue hire is required; the first payment secures the booking. These payments can either be presented as a number of post dated cheques, or a payment order through your bank. These payments must be monthly on any constant date, with the full amount paid up within 30 days prior to the function.
Risk/Loss/Damages
Royal Palms shall not be held liable for interruptions of services (water, electricity, sanitary services). Whilst every precaution will be taken to ensure the safeguarding of your belongings, Royal Palms will not be liable for loss or damage to any property whatsoever. We recommend that all personal and valuable property be removed directly after the function. Any items not removed within 7 days of being placed in storage will be discarded. Should Royal Palms building, surrounding gardens, indoor plant, décor or linen be damaged by the client or clients’ suppliers during , before or after the function the client shall be held responsible and will be billed accordingly. Royal Palms, its employees or any person employed at any function will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever. NOTE: Please keep your children save. No running around will be allowed. Keep in mind that we have a fish pond, and a pond filled with water and this can be dangerous. Royal Palms will not be held responsible for any injuries or deaths.
Price Increase
Please note that prices quoted are subject to change without prior notice.
Cancellations
- In the event of you canceling or rescheduling your date, subsequent to the venue hire being paid, a refund will only be made in the event of Royal Palm’s ability to re-sell the venue for a similar function on the date for which the function was booked. Should it however, be possible to rebook a function on this date, provided Royal Palms will be generating the sales budgeted for this date, we will be happy to refund you the entire Venue hire paid.
- In the event of non-payment of the venue hire fees within the time specified, Royal Palms are entitled to cancel a provisional booking without further notice or liability to the client.
- In the event of non-payment of the fees within the time specified, Royal Palms shall be entitled to cancel a booking after giving the client written notice giving them seven days to rectify.
- All monies are non-refundable once paid by the client. Any refund will be on the same basis as per the first points.
- The final number of guests as discussed at the final appointment will be the number charged for unless attendance is greater. Bearing in mind that should this variance be below the minimums mentioned previously, clients will automatically be billed for the specified minimum.
- Royal Palms reserves the right to cancel any booking forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of Royal Palms, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue.
- The client must confirm all changes and cancellations in writing.
